Annual Reports All In One Place—Instructions & Checklist

Step 1 — Submit ANNUAL SERVICE REPORT (ASR) by April 30

All credentialed individuals in The Wesleyan Church are required to submit an Annual Service Report (ASR). Failure to do so can mean forfeiture of credentials. The deadline for your ASR to be submitted is April 30. Those who do not file by that date will be reported to the Annual District Conference as Unsatisfactory and further action may be taken. Please submit your report in a timely manner.

Pastors / Lay Leaders, please make sure that you continue to scroll down and complete Steps 2 to 7 as well to submit all required Local Church Reports by May 31.


The ASR submission procedure is very similar to last year.

PLEASE READ THIS ENTIRE SECTION THOROUGHLY.

Each credentialed individual received an E-mail from Headquarters on April 1 informing him/her that the system is open to receive reports. Log-in information will be included.

Please do not delete this E-mail. It is your "key" to access the system.

If you cannot find that E-mail, please try to CLICK HERE TO LOGIN.

NOTE: Hard Copy ASRs may be provided as a LAST RESORT and by approval of the DS. Please contact District Admin Tim Linick | kytndistrict@gmail.com | 270-790-1341 | if this option is needed.

Unless you are a Pastor, once you have submitted your ASR, you are done! Congratulations!


Pastors / Lay Leaders, follow Steps 2 to 7 to submit all required Local Church Reports by May 31.

Step 2 — Submit LOCAL CHURCH STATISTICAL REPORT by May 31

The LCSR submission procedure is similar to last year and mandatory for all churches. PLEASE READ THIS ENTIRE SECTION THOROUGHLY.

Each pastor will receive an E-mail from Headquarters informing him/her that the system is open to receive reports. Log-in information will be included.

Please do not delete this E-mail. It is your KEY to access the system.

If you cannot find that E-mail, please try to CLICK HERE TO LOGIN.


Once you have logged in, you may then proceed to complete your LCSR noting the following:
  • Every question must be answered.
  • If a question does not pertain to you, type "0."
  • When every question has been answered, the system will notify your district office.
  • Statistical information ( from May 1 to April 30 ) must be submitted, with the exception of attendance averages which should be based on May 1 to February 29 due to the COVID-19 situation.
  • You may wish to download and print a hard copy of the Local Church Statistical Report (2020 LCSR Hard Copy as PDF or MS Excel file) for a working copy as you gather information to be entered online along with the corresponding instructions (2020 LCSR Instructions as PDF).

Step 3 — Update LOCAL CHURCH LEADERSHIP by May 31

A) District Conference Delegates and LBA Vice-Chair elected by your Local Board of Administration need to be sent By Email (CLICK) to kytndistrict@gmail.com:

  • Annual District Conference | Lay Delegates (NO LONGER APPLIES)
  • Annual District Conference | Alternate Lay Delegates (NO LONGER APPLIES)
  • LBA Vice-Chair (please include all contact info -- mailing address, E-mail address, home phone, mobile phone)

The DELEGATE ALLOTMENT was sent out to pastors by E-mail. You may also download a copy below.

B) Please review your list of leaders in the Pastor Portal (CLICK). If changes have occurred, please update accordingly. This info may be updated by either the Pastor or an approved Church Admin who has been granted access to the Pastor Portal.

The Pastor Portal should contain names and contact information for each of the following positions:

  • Vice-Chair
  • LBA Secretary
  • Church Treasurer
  • Church Trustees
  • LBA Members-At-Large
  • Sunday School Superintendent or Spiritual Formation Director (if applicable)
  • Director of Youth Ministry (if applicable)
  • Director of Children's Ministry (if applicable)

Step 4 — Submit Nominee(s) for NEHEMIAH AWARD by May 31

Please notify us by email | asherman@minister.com | of any local members/attendees that you would like to see honored as a recipient of a "Nehemiah Award for Excellence in Lay Ministry" (see criteria below).

Criteria | Attendees of local churches who exhibit the following characteristics:

  1. They care enough about the local church and ministry to get involved and do what they can to meet the challenges of the day.
  2. They keep their focus on God.
  3. They refuse to give up and keep laboring even through frustrations, discouragement, and increasing obstacles.
  4. They are balanced in their desire to build the church and defend against the enemy and his desire to destroy.
In your email, please GIVE A BRIEF DESCRIPTION of how your nominee has been a Nehemiah in your church. Nominees will not be considered if this description is not included.


Step 5 — Submit LIST OF MEMBERS PROMOTED TO HEAVEN by May 31

Please notify us by email | kytndistrict@gmail.com | with the name(s) of any local members who have passed away over the District year (from May 1 to April 30).


Step 6 — Submit HARD COPY of FOUR DOCUMENTS to DS by May 31:

  • Annual Pastor's Report — This is a full report of your past year's activities as pastor (NOT the ASR). This is usually given at the Annual Local Church Conference and should include vision casting for the year ahead.
  • Local Church Treasurer's Financial Report Include all local church accounts (Savings & Checking) in format of Income/Expense Report from May 1 to April 30
  • Local Church Membership Roll Current List as of May 1, 2020
  • Current Property Insurance Declarations Pages For all Buildings / Vehicles Owned by the Local Church

Step 7 — Make sure Steps 1 through 6 have been completed!

Scroll back through all six steps above and make sure that you have completed each and every step. When you are certain you have completed each of the first six steps, CONGRATULATIONS, you are finished!
